PA TO MANAGING DIRECTOR

JOB PURPOSE
To provide a complete administrative and support role to the Managing Director whilst undertaking confidential tasks, cascading information and efficiently dealing with a wide variety of internal and external stakeholders.

RESPONSIBILITIES AND ACCOUNTABILITIES
Administrative Responsibilities

  • Representing the Managing Director and the company to the highest possible standards in acting as a first point of contact dealing with emails, telephone calls, correspondence and visitors.
  • Acting efficiently or fielding effectively incoming matters, as required, and delivering an exemplary level of customer service both internally and externally.
  • Diary management and travel arrangements for the MD, and on occasions for Chairman and Directors as required.
  • Minute taking for Board Meetings and Management Team Meetings, as required, with a responsibility for preparation and dissemination of materials and for production and distribution of minutes. Follow through of action points.
  • Events planning and management.
  • Document preparation - such as correspondence, reports, memoranda, briefings, presentations.
  • Handling of confidential documents and maintaining strict confidentiality as required.
  • Researching and information gathering.
  • Implementing and maintaining administrative procedures/systems.
  • Electronic and hard copy filing and maintaining the system for storage and archiving of files and ‘bring forward files’
  • Completion of expense claims.
  • Organisation of company car maintenance.
  • Booking of meeting rooms and arranging refreshments.
  • Prioritising and organising own workload to deliver against deadlines.
  • Liaising with FD and recruitment agencies for the recruitment of new staff.
  • Ad-hoc projects on behalf of the MD or Management Team as required.

PERSON SPECIFICATION

  • Good organisational skills, demonstrating attention to detail and a determination to see matters through to a conclusion.
  • Professional approach with high degree of discretion.
  • Team player with a ‘can do’ attitude.
  • Willing to learn, be flexible and be involved with wide ranging tasks.
  • Ability to work on own initiative and generate solutions.
  • Good knowledge of Microsoft Word, Excel and PowerPoint.
  • Credible and comfortable in dealing with a wide variety of stakeholders.
  • Experience of working in a fast paced environment.
