We are recruiting for a Client Operations Executive on a 12 month FTC to join an excellent company based in Maidenhead. You will be reporting to the Client Operations Manager and working with Account Executives, your role is responsible for managing a variety of programmes. Acting as a main point of contact for clients and internal colleagues, you will plan, organise, administer and quality assure client projects ensuring a seamless and first-class client experience.

Responsibilities:

Programme Management and Administration:

  • Creates and drives detailed project plans where appropriate and liaises with clients and client teams on administrative and operational aspects of programmes, coordinating programme roll-out, dates, logistics and organising travel, etc.
  • Ensures the timely and accurate release of ‘Terms of Agreements’ in line with the company
  • Works with Programme Leads/Account Managers and the Resourcing team to tactically resources all client programmes within portfolio.
  • Manages all administrative aspects of programme roll-out.
  • Ensures that workshop outputs are captured and collated (e.g. delegate feedback, flip charts, etc.).
  • Ensures that all travel arrangements for the company deliverers and associates is organised.

Programme Materials:

  • Works with Operations Assistants to ensure that all programme materials including workbooks, presentations, joining instructions, etc. are prepared and formatted in line with brand guidelines
  • Works with Operations Assistants to ensure that all necessary equipment and kit is prepared and ready for client workshops.
  • Ensures and monitors quality of materials and equipment within assigned accounts

Financial Management:

  • Takes responsibility for accurately capturing and reflecting forecasting data, tracking and reconciling revenue through the updating of internal systems, and the approval of expenses and timesheets for all allocated accounts
  • Working with the Account Executives/Account Managers to ensure all key account information is up-to-date on all systems
  • Ensures accurate client invoices are sent out in line with SLAs
  • Works with HPCT to ensure we have the appropriate commercial cover (SOW, Booking Confirmation, PO) in place, prior to delivery taking place
  • Liaises with Commercial Finance Team to ensure accurate revenue management, when required

Relationships:

  • Develops strong relationships with client contacts to ensure a quality client experience
  • Ensures a seamless client experience through management of operational and administrative aspects of client accounts
  • Responds to client queries accurately and swiftly
  • Liaises with Consultants and Clients to ensure that logistical activities are arranged

Required Experience:

  • Experience of working in a client service environment and managing large-scale client programmes
  • Proven organisational, project management skills
  • Proven IT skills (knowledge of project management software an advantage) and ability to analyse data/identify issues
