Part-Time Executive Assistant

Hours of work: 20-25 hours across a minimum of 4 days per week.

We are recruiting for an Executive Assistant to join a European Head Office in High Wycombe. Your job will be to support the Deputy CEO and the Non Executive Chairman in all administrative duties and to support the Chairman as required in ensuring the efficient and effective running of the High Wycombe office.


  • Travel – organise travel and associated visas
  • Provide information of available alternatives and options where requested, provide a detailed itinerary and liaise with the Executives whilst travelling to ensure that support is always to hand
  • Diary Management – schedule and manage appointments intelligently and effectively and follow-up with any necessary actions
  • Inbox Management – manage the inboxes of the Executives. The level of management required will vary according to the individual supported
  • Telephone calls – screen all calls and take detailed messages/action where appropriate
  • Plan and assist in the preparation of board meetings, including collation and distribution of Board packs, slides and logistics of the meetings
  • Prepare documents, spreadsheets and PPT presentations as required
  • Filing – intelligent filing of papers, reports and emails, ensuring the Executives are organised efficiently
  • Organise management meetings and ensure all meeting logistics run as planned
  • Take and distribute action minutes post-meeting and follow-up on action point
  • Maintain and update the central photo library
  • Maintain the databases as required and assist in quarterly reporting


  • Relevant EA/secretarial


  • Proven experience of operating at the level required of the job holder
  • Extremely proficient in Microsoft Outlook, MS Word, MS Excel and MS PowerPoint
  • Experience of supporting board level Executives
  • Experience of dealing with third parties such as banks, investors and Non-Executive Directors
  • Ability to build relationships at all levels, both internally and externally
